TaxPly processes information needed to provide tax preparation, document organization, billing access, consultant review, and support operations.

Data TaxPly processes

  • Account and profile data, such as name, email, role, and workspace details.
  • Tax records, including income, expense, WHT credit, gains, filing readiness, and filing package records.
  • Uploaded documents, including receipts, certificates, support documents, and generated filing packages.
  • Billing records, including plan, unlock, payment reference, and manual payment review details.
  • Consultant/client records, including profile, approval, authorization, assigned review, and client workspace details.
  • Admin records needed to manage support, billing, review, and operational access.

Why data is processed

  • Provide the TaxPly preparation workspace and related support.
  • Organize records by user, workspace, client, consultant, and tax year.
  • Support filing-ready document generation and expert review workflows.
  • Confirm billing access and manual payment reviews.
  • Maintain security, audit, support, and product operations records.

Who can access data

  • Users can access their own TaxPly workspace records.
  • Approved consultants can access assigned review or authorized client workspace records.
  • Admin users may access records needed for support, billing, review, and operations.
  • Private documents are accessed through signed URLs or controlled document access flows.

User responsibilities

Users should keep login details secure, upload only documents they have rights to store, check records before filing, and contact support if they believe account or document access has been exposed.

Data Retention and Your Rights

TaxPly keeps personal data only for as long as reasonably necessary to provide the platform, maintain tax preparation records, support billing and dispute resolution, protect the security of the service, and meet applicable legal, accounting, tax, audit, and regulatory obligations.

How Long We Keep Data

We apply different retention periods depending on the type of information:

  • Account and profile information: kept while your account remains active and for a reasonable period after closure where needed for support, security, dispute resolution, or legal purposes.
  • Tax records, filing records, uploaded documents, WHT records, expenses, income records, generated filing packages, and official payment records: kept while your account is active and may be retained after account closure where needed for tax, audit, compliance, dispute, or record-keeping purposes.
  • Billing and manual payment records: kept where necessary to confirm payments, resolve disputes, prevent fraud, and maintain business records.
  • Consultant and client workspace records: kept while needed to support the consultant-client workflow, authorization records, review history, filing package history, and related compliance records.
  • Support messages and contact form submissions: kept for as long as needed to respond to your request, improve support quality, and keep a record of the issue.
  • Security logs and technical records: kept for a limited period where needed to protect the platform, investigate suspicious activity, prevent abuse, and maintain service reliability.
  • Anonymized or aggregated data: may be kept for analytics, product improvement, security monitoring, and reporting, provided it no longer identifies you.

When personal data is no longer needed, TaxPly will delete it, anonymize it, or securely restrict access to it, unless continued retention is required for lawful business, tax, audit, security, dispute-resolution, or regulatory reasons.

Your Rights

Subject to applicable law and verification of your identity, you may request to:

  • access personal data TaxPly holds about you;
  • correct inaccurate or incomplete information;
  • delete personal data where continued retention is no longer required;
  • restrict or object to certain processing activities;
  • withdraw consent where processing is based on consent;
  • request a copy of your data in a usable format where technically possible;
  • ask questions about how your data is collected, used, stored, or shared.

Some requests may not be granted immediately or in full where TaxPly needs to retain certain records for tax, accounting, audit, legal, fraud-prevention, security, dispute-resolution, or legitimate business reasons. For example, deleting an account may not automatically delete filing records, billing records, generated documents, or records required to preserve transaction history and platform integrity.

Account Closure and Deletion Requests

You may request account closure or deletion through the Contact Support page. After receiving your request, TaxPly may verify your identity before taking action. Where deletion is approved, TaxPly will remove or anonymize personal data that is no longer required. Records that must be retained for lawful, security, audit, tax, payment, or dispute-resolution purposes may be kept for the period reasonably necessary.

Consultant and Client Data

Where a consultant uploads or manages client records on TaxPly, the consultant is responsible for ensuring they have proper authorization from the client. TaxPly may require verification before acting on requests relating to client records, consultant-managed workspaces, or authorization documents.

TaxPly will review requests carefully and respond within a reasonable time, taking into account the nature of the request, the sensitivity of the data, identity verification requirements, and any legal or operational obligations that may apply.
